The People Operations Specialist is responsible for performing comprehensive HR services and related duties for the employees of PUSH Buffalo and Buffalo Neighborhood Services Corp. (BNSC) in the functional areas of: payroll, benefits administration, employee relations, on- and offboarding, policy implementation, recruitment/employment, etc.

The People Operations Specialist ensures the smooth operation of HR functions, focusing on providing support across various HR areas such as recruitment, onboarding, payroll, and employee relations. They handle HR documentation, prepare reports, and assist in payroll preparation.

The Essential Duties and Responsibilities of the HR Specialist position include:

General

• Supports employees in HR-related topics like leaves and compensation.
• Assists with the organization’s Human Resource activities; maintains all employee information, files and records consistent federal and state laws and regulations.
• Assists with development, interpretation and implementation of employee policies and procedures; prepares and maintains policies and procedures manual(s).
• Ensures HRIS database reflects current and accurate information; verifies and inputs pay and data changes.
• Assists with upkeep of Human Resources communications processes/systems including but not limited to: Newsletter(s), Memos, Job Postings, Information Site, etc.
• Performs customer service functions by answering employee requests and questions.
• Process information and generate reports, as needed.
• Gathers and analyzes HR metrics
• Assists with day-to-day operations of HR functions and duties

 

Payroll Processing

• Manages payroll system to ensure employees are paid in an accurate and timely manner; processes and distributes paychecks; adjusts as necessary; updates PTO; review payroll reports for accuracy and compliance.
• Reviews and posts timecards and payroll transactions for all departments, verifies timecard accuracy, submissions, and approvals.
• Liaises with staff, managers, senior directors, and executives to ensure consistent information.
• Prepares weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management as needed.
• Partners with finance department to assist, as needed.

 

Benefits Administration:

• Performs benefits administration, including enrollments, changes, terminations and communicating benefits information to employees. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
• Assists with leave management processes.
• Upload and maintain information regarding employee 401k loans to 401K system.
• Maintains accurate and up to date benefits documents and manual(s).

 

Onboarding/Offboarding:

• Assists with On- and Offboarding processes.
• Onboards new hires smoothly
• Formats and reviews job descriptions.
• Assists with the preparation of the performance review process.
• Assists with recruitment and interview process.

 

The ideal candidate for this position will have:

• Three (3) years of direct related human resources work experience.
• High School Diploma, Equivalent or and/or equivalent combination of education and experience.
• Minimum one (1) year experience processing payroll.
• Minimum three (3) years’ experience with HRIS system(s).
• Broad knowledge of general Human Resources principles, policies and procedures.
• Ability to maintain confidential information.
• Proficient in the Microsoft Office suite, especially Word, Excel and Outlook.
• A proactive, creative, and flexible attitude.
• Must be able to work independently and have a strong attention to detail.
• Excellent interpersonal skills both verbal and written.
• Attention to detail and ability to cope with several tasks and projects simultaneously.
• Ability to meet deadlines.
• Requires residency in Buffalo, NY area and ability work on site at least four (4) days per week.
• A valid NYS driver’s license and access to reliable private transportation is helpful.
• Spanish language proficiency is a plus.

 

The salary range for this position, starting salary to be determined by combination of education, experience, and skill level, is:

  • $48,500 – 55,000 annual salary

 

This position is full-time, salary non-exempt and eligible for hybrid work schedule.
